The Inventory is a must for all Landlords and tenants. It protects both parties by recording the condition of the property at the start and end of the rental period.
The inventory process is made up of different reports tailor made for the right situation.
Inventory-Check In
The Inventory-Check In can be performed on the same day provided there is enough time to complete the report before the tenant arrives. This type of report can be done over different days but will often involve additional charges if a second visit is required.
Check Out
The Check Out will normally be done with the tenant present. It is strongly recommended that the tenant make themselves available so that they are aware of any changes in condition of the property at the time of handing over keys. This removes potential disputes later on.
Payment of the check out fee is normally paid for by the tenant.
Interim Visits
The best way to monitor how the tenancy is progressing is to have 6 monthly inspections. This is a two way process by giving the Landlord a written report with photographs on the condition of the property. It also gives the tenant a chance to mention any issues they have with the property giving feed back to the Landlord should they be unaware of the issues.
Software
Energy Matters UK use an I PAD based software application to produce the reports which are supplied in PDF format.
All the images are embedded in the report at the relevant section and any observation images are also listed at the end of the document.
The original images can be emailed to the client if required. We normally use Drop Box for this as it is free for both parties to use.
We also hold the images on our secure server and supply images on request if there is an issue with clarity.
